CHLax Board of Director Position Descriptions

President
The President shall be the Chief Executive Officer of the organization.  He/She shall preside at all meetings.  He/she shall have general and active management responsibilities to the organization; shall see that all orders and resolutions of the club are carried into effect.
He/She shall execute contracts that bind the organization with the approval of the executive officers. He/she shall be ex officio, a member of all communities and shall have the general powers and duties of supervision and management usually vested in the office of the President of the organization.
 
  • Oversees meetings, provides agenda, keeps board abreast of league news and events
  • Ensure club growth is controlled while maintaining our vision.
  • Ensure-coaching staff is in place and qualified to execute job. POC for Police Dept to provide any needed background checks and Megan's law documentation.
  • Supports all Committee heads and board members in completion of their tasks.
  • Liaison to Township departments including but not limited to parks and recreation, mayor's Office and the CH Board of Education.
  • Maintain club affiliation with US Lacrosse
  • Proposes policy and procedures for daily operation for board approval
Vice President
  • Can act in role of President when President is not available to support meetings and club functions requiring the president to be in attendance.
  • Oversees meetings, provides agenda, keeps board abreast of league news and events
  • Ensure club growth is controlled while maintaining our vision.
  • Ensure-coaching staff is in place and qualified to execute job. POC for Police Dept to provide any needed background checks and Megan's law documentation.
  • Supports all Committee.
Director Boys Program
  • Assists president in the president's tasks takes the presidents place in his/her absence
  • Ensure all club documentation is updated to accurately reflect the rules and regulations related to boys lacrosse.
  • Responsible for coordination with the SJYLL for the purpose of setting up the overall schedule for games and tournaments. Primary point of contact for arranging for games and tournaments outside the SJYLL.
  • Responsible for arranging for referees for non-league games, responsible for contacting the appropriate organizations who schedule our officials.
  • Overall lead for communication from the board to the boys program, including coaches, players and parents.
 
Director Girls Program
  • Assists president in the president's tasks takes the presidents place in his/her absence

  • Overall lead for communication from the board to the girls program, including coaches, players and parents.
  • Ensure adequate coaches are available to support the proposed teams.
 
Director of Fields and Facilities
  • Ensures Field Procurement meeting needs for the club. Ensures all permits are in place each season and paid for by treasurer. Make copies of permits for all coaches.
  • In charge of committee whose responsibility is the lining of all designated fields on a regular schedule based on the leagues schedule
 
Director of Purchasing
  • Responsible for placing club orders for all equipment needs.
  • Leads the procurement of uniforms. Responsible for ordering and dispensing uniforms.  Assemble a small group of parents to help with sizing, ordering, sorting and distribution
 
Secretary
The secretary shall attend all sessions of the Board and record all of the votes of the Board and the minutes of all transactions in a book to be kept for that purpose.� He/she shall give, or cause to be given, notice of all meetings of the Executive Board and shall keep the official journal for recording the attendance of members at regularly scheduled club meetings.�
  • Keeps records of all members of the league, keeps notes of board meetings
  • Lead member in charge of registration process and execution of registration.
  • Keeps and distributes board meeting minutes ensuring action items are documented with a responsible person to complete task and a due date to complete all assigned actions is in place.
  • Ensures appropriate insurance is in place for the club board members and players are registered properly with US Lacrosse for insurance coverage.
  • Organizes dates, places and times for registration. 
 
 
  • Maintain member email database and ensure all coaches have this critical data
  • Arranges for announcements in the schools for registration, club sponsored clinics and league information
 
Treasurer
The Treasurer shall have the custody of the organizations funds and shall keep full and accurate receipts and disbursements in books belonging to the organization in the name of and to the credit of the organization.� He/she shall disburse the funds of the organizations as may be ordered by the Board, taking proper vouchers for such disbursements, and shall render to the executive officers at regular meetings or whenever the may require it, a written account of all transactions as Treasurer of the financial condition of the organization.
The President and the Treasurer will be the two authorized signatures on record to sign checks.� Any checks for over $500.00 must have two signatures.� Any fees over $2000.00 must have board approval.� The Treasurer shall submit activities plan and budget request to the Board by the league meeting conducted closest to the end of the calendar year.
 
  • Oversees funds of the league including filing of tax forms
  • Proves monthly finance report al board meetings
  • Ensure the club complies with local, State and federal regulations based on our legal structure. Advise the board on investment opportunity and spend plan.
  • Ensures the clubs D&O policy is active each year.
  • Arrange for the issuing of proof of insurance to township and BOE documentation.
  • Ensure at least 2 signatures are on our bank account.
  • Provide club checks to coaches to pay officials.
  • Prepares budget for each season.
  • Pays all club bills
Director of Communications
  • Ensures policy and procedures are in place to effectively communicate at all levels in the club
  • Ensures club voice mail system is in place and voice mailboxes are set up per board approval.
  • Lead for club publicity with local papers, cable networks
  • Ensure Township Bulletin data is updated and accurate for each of the 4 issues released
  • Responsible for updating directions to our fields and away fields making sure they are correct.  Directions will include final address to be used with map quest if parents need.  Coordinates with Boys and Girls scheduler to ensure posting of directions to web site for all away games.
  • Responsible for updating web site to include schedules, directions, news etc.
  • Arranges for weekly club program to be distributed at Home game. Obtain from Fundraising Board Member sponsor advertising, coupons to include in the weekly flyer. Obtain weekly message from the President and can include team rosters.
 
Director of Fundraising
  • Contact and schedule a photographer for our league still and action pictures. Arrange time and place, inform coaches and general membership.
  • Develop club policy and procedure and all club documentation for obtaining donations to the club.
  • Coordinates club social each season.
  • Arrange for sale of club merchandise both at home games and via web site.
  • Make arrangements for the sale of some food items at all home games on weekends. Contact team parents for volunteers for each team.
 
Director of Health, Safety and Training
  • Must be aware of rules regulations and requirements for players, coaches and parents regarding all facets of player health and safety issues. Ensure we are compliant with Local, State and US Lacrosse regulations regarding coaching certification regulations.
  • Lead for evaluating, finding and providing appropriate training material for coaches
  • Lead for researching and ensuring club awareness of clinics and camps.
  • Responsible for co-coordinating Basic first aid and CPR training for coaches.   
  • Responsible for incident forms.
  • Provide requirements for a basic first aid kit and procure all materials need to make first aid kits for all teams. Provide kits to Director of Operations to provide to coaches.
